For any manufacturing company, tracking and responding to equipment downtime is crucial. That’s why osapiens introduced an asset downtime management feature in version 3.18 that allows maintenance and production personnel to easily report downtime.

With CMMS 3.18, we deliver features that significantly simplify everyday life in maintenance and production environments: a 3-step asset upload, a new mobile persona “Asset Owner” with push notifications, and integrated downtime management. This allows you to speed up master data maintenance, team collaboration, and KPI transparency in equal measure.

Asset Downtime Tracking: structured recording, KPI generation

Downtime costs companies output. That’s why version 3.18 introduces downtime management, which allows maintenance and production personnel to easily report downtime. Planned and unplanned downtime is recorded directly in the portal or on mobile devices—quickly, consistently, and directly from the respective asset page.

In the settings, uniform categories for planned and unplanned downtime can be defined so that reports are standardized and comparable. A new section under “Assets” in the portal shows all reported downtime, including status, duration, affected asset, and category. The history can also be viewed on the respective asset detail page. Only one active downtime is permitted per asset at a time. Active outages are also highlighted in a separate dashboard widget on the home page.

New mobile persona “Asset Owner”: report, track, stay informed

We now support a new mobile role: the Asset Owner. The Asset Owner needs a very simple way to report problems and track their progress. With 3.18, this role is fully supported on mobile in the osapiens HUB.

Push notifications via email, and soon also via inbox, inform you as soon as a request is commented on or its status changes. This significantly improves collaboration with planners and technicians. When the asset owner taps on the push notification, the app synchronizes and opens the corresponding request directly.

The available events have been expanded including status changes and comments on tickets as well as due dates and overdue dates for work orders and can now be configured individually for each user. The asset owner reports faster, stays automatically up to date, and reduces the workload for planners and technicians.

Asset Data Upload: Master data completed in 3 steps

Clean master data is the basis for planning and reporting. That’s why version 3.18 introduces a guided asset upload directly in the portal. Asset master data is imported in a 3-step process:

Download the XLS template from the portal, enter the data according to the template, and upload the file. The integrated validation checks mandatory fields and formats. Deviations are corrected in the template and the upload is repeated until the import is completed without errors.

Which file formats and rules apply to the upload?
The provided XLS/XLSX template is supported in Version 3.18. Field types, mandatory information, and permitted values are defined in the template and are checked during upload.

How do push notifications work for the asset owner?
The asset owner receives push notifications as soon as a request is commented on or its status changes. Tapping on the notification synchronizes the app and opens the corresponding request directly.
